Heart of the Holidays handles personal data with care. On this page, we explain what information we process, why we process it and what rights you have.

1. Who is responsible?

Heart of the Holidays is responsible for processing personal data collected through this website and our activities.

If you have any questions about privacy, you can contact us at info@heartoftheholidays.nl.

2. What personal data do we process?

The information we process depends on how you contact us or take part in our activities. This may include:

  • your name and contact details;
  • your address and place of residence when needed for an application;
  • information you provide when applying to volunteer;
  • information about families applying directly or being referred by an organisation;
  • information about partners and organisations;
  • information about a contribution or donation;
  • the content of messages sent through the contact form;
  • account details of staff and administrators who have access to the portal.

3. Why do we process this data?

We only process personal data when it is needed for our work. For example, to:

  • respond to contact requests;
  • review and organise volunteer applications and contact volunteers about future editions;
  • handle family applications and referrals with care and, when a family takes part, prepare for the Christmas dinner;
  • handle partnership applications and, where we work together, coordinate and carry out contributions;
  • administer contributions and donations;
  • organise events and invitations;
  • provide staff with secure access to the portal;
  • comply with legal and administrative obligations.

4. What legal basis do we rely on?

Depending on the situation, we process personal data because it is necessary to handle a request or arrangement, based on your consent, because of a legitimate interest or to comply with a legal obligation.

We rely on the consent you give when applying to volunteer to keep the information from your volunteer application and contact you about future editions.

5. Who do we share personal data with?

We do not sell personal data. Information is only shared when necessary for our services, organisation or legal obligations.

We may use trusted service providers, for example for hosting, database management and sending email. We do not share more information than is necessary.

6. How long do we keep personal data?

We do not keep personal data for longer than necessary for the purpose for which it was collected, unless a legal retention requirement means that it must be kept for longer.

We keep information from volunteer applications for up to three years after the most recent application or contact, so that we can contact you about future editions. You can always ask us to delete your information sooner.

7. Security

We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and improper use.

8. Your privacy rights

You can ask us for access to your personal data. Depending on the situation, you can also ask us to correct or delete your information, restrict its processing or object to its processing.

You can send a request to info@heartoftheholidays.nl.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

9. Changes

We may update this privacy statement when our services, website or legal obligations change. The most recent version will always be published on this page.
